Event Terms and Conditions
Effective Date: 2026/07/03
These Terms and Conditions govern the booking and provision of science party and educational workshop services by Scientastic Inventions CC t/a Experilab, (“we”, “us”, “our”) to customers, parents, guardians, schools, and other booking parties (“Client”, “you”, “your”).
1. BOOKINGS
1.1 A booking is confirmed only once we have issued a written confirmation and received any required deposit.
1.2 The person making the booking confirms that they are at least 18 years old and authorized to enter into this agreement.
1.3 The Client is responsible for providing accurate booking information, including:
· Event date and time;
· Venue details;
· Expected number of participants;
· Age range of participants;
· Any relevant medical, behavioural, accessibility, or safety information.
2. FEES AND PAYMENT
2.1 Prices are quoted in South African Rand (ZAR).
2.2 A deposit of 50% may be required to secure a booking.
2.3 Full payment must be received no later than 2 days before the event unless otherwise agreed in writing.
2.4 Additional attendees, travel costs, extended event duration, or special requirements may incur additional charges.
2.5 Failure to make payment by the due date may result in cancellation of the
booking.
3. CANCELLATIONS AND RESCHEDULING
Client Cancellations
3.1 Cancellation requests must be submitted in writing.
3.2 Refunds will be handled as follows:
- More than 30 days before the event: Full refund less any non-refundable deposit.
- 14–30 days before the event: 50% refund.
- Less than 14 days before the event: No refund.
3.3 We may, at our sole discretion, permit a one-time rescheduling of an event.
Company Cancellations
3.4 If we are unable to provide the event due to illness, emergency, severe weather, venue restrictions, or any circumstance beyond our reasonable control, we may:
- Reschedule the event; or
- Provide a full refund of monies paid.
4. SUPERVISION OF CHILDREN
4.1 Our staff facilitate educational activities and entertainment but do not provide childcare services.
4.2 For private parties, a responsible parent, guardian, or designated adult must remain present at the venue for the entire duration of the event.
4.3 The Client remains responsible for the supervision, behaviour, welfare, and discipline of all participants.
4.4 For school workshops, teachers and school staff remain responsible for learner supervision at all times.
5. HEALTH AND SAFETY
5.1 Participants must follow all safety instructions provided by our staff.
5.2 The Client must notify us before the event of:
- Allergies;
- Medical conditions;
- Disabilities;
- Special educational needs;
- Any condition that may affect participation.
5.3 We reserve the right to modify, suspend, or discontinue any activity if we believe it presents a safety risk.
5.4 We reserve the right to remove any participant whose behaviour is unsafe, disruptive, abusive, or dangerous.
6. PARTICIPATION IN ACTIVITIES
6.1 Our science activities are designed to be age-appropriate and conducted under supervision.
6.2 The Client acknowledges that participation in hands-on educational activities carries an inherent risk of minor injury, including cuts, slips, spills, or similar incidents.
6.3 Participants take part in activities subject to compliance with safety instructions.
7. VENUE REQUIREMENTS
7.1 Where the event is held at a venue selected by the Client, the Client is responsible for:
- Obtaining permission to use the venue;
- Ensuring the venue is suitable and safe;
- Providing adequate space for activities;
- Providing access to facilities reasonably required for the event where applicable;
- Ensuring compliance with venue rules.
7.2 We reserve the right to refuse to conduct an event if the venue is deemed unsafe or unsuitable.
7.3 No refund shall be due where an event cannot proceed because the venue is unsuitable or inaccessible.
8. PHOTOGRAPHY AND MEDIA
8.1 We may take photographs or videos during events for promotional and educational purposes only where appropriate consent has been obtained.
8.2 The Client is responsible for obtaining any necessary parental or guardian consents where applicable.
8.3 Any participant may be excluded from photography upon written request.
9. DAMAGE TO EQUIPMENT
9.1 All equipment supplied by us remains our property.
9.2 The Client may be held responsible for damage to equipment resulting from
intentional misconduct, vandalism, abuse, or negligence.
10. LIMITATION OF LIABILITY
10.1 We will take reasonable care in the provision of our services.
10.2 To the fullest extent permitted by applicable law, our liability for any claim arising from the event shall be limited to the total amount paid by the Client for the event.
10.3 We shall not be liable for:
- Indirect losses;
- Consequential losses;
- Loss of profits;
- Loss of business opportunities;
- Damage arising from circumstances beyond our reasonable control.
10.4 Nothing in these Terms excludes liability that cannot legally be excluded under applicable law.
11. INDEMNITY
11.1 The Client agrees to indemnify and hold harmless Sceintastic Inventions cc
t/a Experilab, its employees, contractors, and representatives against claims arising from:
- The Client’s breach of these Terms;
- Unsafe venue conditions outside our control;
- Failure to disclose relevant participant information;
- Negligent acts or omissions of the Client or attendees.
12. FORCE MAJEURE
12.1 We shall not be liable for any delay or failure to perform due to circumstances beyond our reasonable control, including:
- Extreme weather;
- Power outages;
- Natural disasters;
- Government restrictions;
- Strikes;
- Venue closures;
- Public health emergencies.
13. SCHOOL WORKSHOPS
13.1 The school is responsible for maintaining appropriate educator-to-learner supervision ratios.
13.2 The school must inform us of any participant requiring special accommodations.
13.3 The school remains responsible for compliance with its own safeguarding, child protection, health, and safety policies.
14. PRIVACY
14.1 Personal information will be processed in accordance with our Privacy Policy.
14.2 We will comply with applicable South African data protection laws regarding the collection, storage, and use of personal information.
15. GOVERNING LAW
15.1 These Terms and Conditions shall be governed by and interpreted in accordance with the laws of the Republic of South Africa.
15.2 Any dispute arising from these Terms shall be subject to the jurisdiction of the South African courts
16. ACCEPTANCE
By making a bookingand by signature on each page hereof the Client acknowledges that they have read, understood, and agree to be bound by these Terms and Conditions.
